Email Time Savings Calculator

Enter how many emails you answer, how long a reply takes, and what share is routine. The calculator compares writing every reply yourself against reviewing a ready draft for the routine ones, and shows the hours saved per month. Every number is your own estimate.

Your numbers

Every value below is your estimate. The starting values are placeholders, not benchmarks.

Your estimate. Count only inbound email you actually answer, not newsletters or notifications.
Your estimate. Include reading the email, finding the answer, and typing the reply.
Your estimate. Routine means questions you have answered many times before, such as pricing, order status, or scheduling.
Your estimate. The time to read a prepared reply, fix anything that is off, and send it.
Your estimate. The days per month you spend answering email.
Your estimate. What an hour of the person answering email costs you, in your own currency. Used only to put a value on the hours.

How this was calculated
Current minutes / month = Emails/day x Minutes per reply x Working days
Routine emails / month = Emails/day x Routine % x Working days
With drafts (minutes) = Routine emails x Review minutes
                           + (Emails/day x (1 - Routine %) x Working days x Minutes per reply)
Hours saved / month = (Current - With drafts) / 60
Value saved / month = Hours saved x Hourly cost

No outside data is used. Non-routine email is assumed to take the same time as it does today.

Results depend entirely on the numbers you enter. This is a planning estimate, not a forecast. Everything runs in your browser, and inboxr does not store what you enter.

Common questions

How is the time saved calculated?

It multiplies your emails per day by your minutes per reply and your working days to get the current monthly total. Then it replaces the writing time on routine emails with your review time and subtracts. The exact formulas are shown under "How this was calculated".

What counts as a routine email?

A message you have answered many times before: pricing questions, order status, how-to questions, scheduling. If you could answer it from a saved reply or a policy document, count it as routine.

What should I enter for minutes to review a draft?

Use your own estimate of how long it takes you to read a prepared reply, fix anything that is off, and send it. If you are unsure, time yourself on three or four saved replies and use the average.

Does this tool use real benchmark data?

No. There are no industry averages built in. The starting values are placeholders, and every result comes only from the numbers you enter.

Is anything I type saved or sent anywhere?

No. The math runs in your browser. The numbers you enter are kept in the page address so you can bookmark or share the result. They are not stored by inboxr.
