Co-pilot review queue: approve AI email drafts before they send

In co-pilot mode inboxr drafts a reply to every new email and holds it in a review queue. Nothing is sent until a person approves it. You can send the draft as written, edit it first, ask for a fresh one, or discard it.

What the review queue does

When a new email arrives in a connected mailbox, inboxr reads it, works out what it is about, and writes a reply using your agent's instructions and your knowledge base. In co-pilot mode that reply is not sent. It is placed in the review queue as a draft, next to the original message, and it stays there until a person decides what to do with it.

Co-pilot is the mode every new mailbox starts in. It is the safe default: the AI does the writing, and you keep the decision about what leaves your inbox.

Sample data. Names and messages are fictional.

How it works, step by step

  1. Mail arrives. inboxr checks each monitored mailbox about every five minutes and stores new messages.
  2. It is sorted. Each message is classified by topic (billing, sales, support, account, or general) and the sender's tone is read, so the right agent picks it up.
  3. A draft is written. The agent writes a reply from your knowledge base, its own instructions, earlier messages in the same thread, and examples of replies you approved before.
  4. It waits for you. The draft appears in the queue with the sender, subject, mailbox, and topic. While the AI is working the page shows a live status, so you never have to guess whether a draft is on its way.
  5. You decide. Approve, edit, regenerate, or reject. Only an approval sends anything.

What you can do with a draft

Approve

Sends the reply as written, from your own mailbox, in the same thread as the original email. Your signature is added at send time. A reply approved without changes counts as a clean approval, which is what a mailbox needs 20 of before autopilot can be switched on.

Edit, then approve

Open the draft in the editor, change what you like, and send. The edited version is what goes out. inboxr keeps both versions so it can learn from the difference. You can also leave a short note to the AI explaining what you changed.

Regenerate

Discards the draft and asks for a new one. This is the right move after you have corrected a fact in your knowledge base or tightened an agent's instructions.

Reject, ignore, or delete

Reject a draft when no reply is needed. Nothing is sent. Mail that should never have been drafted at all, such as a newsletter, can be ignored or deleted from the queue, and you can add an ignore rule so it is skipped next time.

Finding things in the queue

The queue has tabs for what is waiting, what was sent, what was ignored, and anything that needs attention, such as a draft that could not be written. The Sent tab shows whether each reply was sent by a person or by autopilot. You can search by subject, name, or email address, and filter by timeframe and topic. Filters stay in place as you move between tabs.

What comes back to the queue from autopilot

The queue is not only for co-pilot mailboxes. When a mailbox is on autopilot, any draft that scores below your confidence threshold, falls outside your active hours, or fails a safety check is placed here instead of being sent. The queue is where every uncertain reply ends up, in either mode.

Who it is for

  • Anyone starting out. Co-pilot lets you judge the drafts on your real email before trusting anything to send on its own.
  • Teams with a shared inbox. An admin can give teammates access to the review queue, so replies are handled by whoever is on.
  • Inboxes where every reply matters. Some mailboxes should always have a person approve. Co-pilot can stay on for good.

Common questions

Does inboxr send anything on its own in co-pilot mode?

No. In co-pilot mode every draft is held in the review queue and is only sent when a person approves it. Co-pilot is the default for every new mailbox.

Can I edit a draft before it goes out?

Yes. Open the draft, change it in the editor, and approve. The edited version is what gets sent, and the edit is saved as an example for future drafts.

What does Regenerate do?

It discards the current draft and asks the AI to write a new one for the same email. It is useful after you update your knowledge base or an agent's instructions.

How do I know when a draft is ready?

New mail is checked about every five minutes. The queue shows each email with its status, and a draft page updates on its own while the AI is working, so you do not have to refresh.

Can my team share the queue?

Yes. Admins can give a team member access to the review queue for the workspace. Members only see the areas an admin has granted.
