How it works

How inboxr works, from the first draft to autopilot.

inboxr connects to your mailbox, drafts a reply to each new email, and waits for you to approve it. Each approval teaches it your voice. Once a mailbox has earned it, you can let the confident replies send on their own.

1

Connect your mailbox

Add the inbox you want help with by entering its IMAP details for reading mail and its SMTP details for sending. Any mailbox that supports both will work. A Test connection button checks both live before you save, so a wrong password shows up now and not later.

Then set the name replies are sent from and a signature. inboxr sends from your own mailbox, in the same thread as the original email, so replies look like they came from you.

Monitoring starts off. Switch on "Process inbound mail" when your agent and knowledge are ready, and inboxr begins with recent mail only.

2

inboxr drafts the reply

inboxr checks the mailbox about every five minutes. For each new email it works out the topic (billing, sales, support, account, or general) and reads the sender's tone. Newsletters you have told it to ignore, and bounce notices, are skipped before any AI work happens.

The agent for that topic then writes a reply from your knowledge base, its own role and tone, the earlier messages in the thread, and replies you approved before. It is told not to invent facts or promise anything it was not given.

3

You review and approve

Every mailbox starts in co-pilot mode. Each draft waits in the review queue next to the original email. Nothing is sent until a person approves it.

Approve to send it as written. Edit it first if it needs a change. Regenerate for a fresh draft after you update your knowledge. Reject it when no reply is needed. The page shows a live status while the AI is drafting, so you are never left guessing.

4

It learns from what you send

Each approved reply is saved as an example: the email, the AI's draft, and what you actually sent. When you edit a draft, inboxr notes what changed. You can add a short note to the AI explaining why.

The next draft for that mailbox is written with the most relevant examples in front of it, so replies move toward how you write. Examples stay with the mailbox they came from.

Note to the AI: lead with the answer, keep it to three sentences, and offer one next step.

5

Autopilot, once it is earned

Autopilot is locked on every new mailbox. It becomes available after 20 clean approvals on that mailbox, meaning drafts you sent without editing. An edited approval moves the count back a little.

With autopilot on, inboxr scores each draft from 0 to 100. A draft at or above your threshold is sent. Anything lower, and anything that fails a safety check, comes back to your queue.

The trust model

Trust is earned per mailbox, and you can take it back.

inboxr does not ask you to trust it on day one. It starts by drafting only. It earns the right to send through replies you approved unchanged. Even then it sends only what it is confident about, and you can return any mailbox to co-pilot at any time.

Co-pilot

Drafts every reply and waits for your approval. The default for every mailbox.

Earns trust

Each clean approval counts. 20 of them make autopilot available.

Autopilot

Sends confident replies on its own. The rest come back to you.
What you control

The settings that decide what goes out.

Mode, per mailbox

Co-pilot or autopilot, set separately for each inbox and changeable at any time.

Confidence threshold

The minimum score a draft needs before autopilot may send it.

Active hours

Limit automatic sending to chosen days and hours. Outside them, drafts wait for review.

What it knows

The knowledge base, scoped by mailbox and agent, is the material replies are written from.

What it ignores

Rules by sender, domain, or subject keep newsletters and alerts away from the AI.

Limits on sending

Send-rate caps per mailbox, link checks on automatic replies, and a record of who sent what.

The same knowledge, beyond email

On plans that include them, the knowledge base you build for email also powers a website chat agent that answers visitors and captures leads, and a built-in CRM that turns every email and chat into a contact with a timeline. See pricing for what each plan includes, or browse all features.

FAQ

Questions about how it works

How long does it take to set up?

Setup has three parts: connect a mailbox with its IMAP and SMTP details, create one agent, and add some knowledge. Your overview page tracks each step. Drafting starts once you switch on "Process inbound mail" for the mailbox.

Which email providers does inboxr work with?

Any mailbox that supports IMAP for reading mail and SMTP for sending it. You can test the connection before saving. Some providers require an app-specific password instead of your normal one.

Will inboxr send email without my approval?

Not unless you switch on autopilot for a mailbox. Every mailbox starts in co-pilot mode, where each draft waits for a person to approve it. Autopilot stays locked until the mailbox has 20 clean approvals.

What does inboxr use to write a reply?

The incoming email, earlier messages in the same thread, your agent's role and tone, your knowledge base, and examples of replies you approved before on that mailbox.

What happens when the AI is not sure?

In co-pilot, you see every draft anyway. On autopilot, a draft below your confidence threshold, or one that fails a safety check, is placed in your review queue instead of being sent.

Is there a free trial?

Yes. The trial runs 21 days or 100 AI replies, whichever comes first, with no credit card. inboxr is invite-only right now, so request early access to get an invite.
