Smart links: the right link in the right reply

Smart links are the call-to-action links you give an agent, each with a label and a short note on when to use it. The agent adds the matching link to a reply when it is relevant. On autopilot, a draft that contains a link you did not provide is held for review instead of sent.

What smart links do

A good reply often ends with a next step: book a call, see the pricing page, read the setup article. Smart links let your AI agent offer those next steps with the right link, at the right moment, without you pasting it in by hand.

You add each link to an agent with three things: a label, the URL, and a short "use when" note. The agent treats the list as options. When an incoming email matches a note, it works the link into the reply. When nothing matches, the reply goes out without a link.

How it works, step by step

  1. Add links to an agent. Open the agent and add each link with its label, URL, and "use when" note.
  2. An email arrives. The agent that handles it receives its own list of links along with your knowledge base.
  3. The agent decides. If the email matches a note, the link is written into the reply in a natural sentence. It is not appended to every message.
  4. You review, or it is checked. In co-pilot you see the link in the draft before approving. On autopilot the link is checked against your approved sources before anything is sent.

Hi, we are a team of ten looking at options. Is there someone I could talk to about how this would work for us?

Draft reply - Sales agent

Hi Leo, thanks for getting in touch. A team of ten is a good fit, and a short call is the quickest way to walk through it. You can pick a time that suits you here: example.com/demo

The "use when" note is the important part

The note is an instruction to the AI, written in your own words. Specific notes produce well-placed links. Compare:

  • Too loose: "Use for sales." The agent has to guess.
  • Better: "Use when the customer asks for a call or a demo. Do not offer it to existing customers with a support problem."

You can also describe when not to use a link. That is often what stops a booking link turning up in a reply to someone who only wanted an invoice.

Links belong to the agent

Because a link is attached to an agent, different kinds of email get different next steps. With multiple agents on a mailbox, the sales agent can offer a booking page, the support agent can offer help articles, and the billing agent can offer your payment portal. An agent only ever offers its own.

A guard against invented links

AI models can produce a link that looks plausible and leads nowhere. On autopilot, inboxr does not rely on the AI to avoid that. Before a reply is sent automatically, every link in the draft is checked in code. It must match one of:

  • a link you gave the agent,
  • a link that appears in your knowledge base, or
  • your own mailbox's domain.

If a draft contains any other link, it is not sent. It goes to your review queue with the reason shown, for example that it links to an address not in your knowledge base or agent links. The same check applies to email addresses and phone numbers. If you see a normal link held this way, add it to the agent or the knowledge base and the next draft like it can go out on its own.

Smart links and website chat

Smart links are part of the email agent. The website chat agent, on plans that include it, answers from your knowledge base, so links you want it to share should live there. See the chat agent page.

Who it is for

Anyone whose replies regularly end with "you can book here" or "the details are on this page". It is most useful for sales inboxes that want a clear next step on every inquiry, and for support inboxes with a help center worth pointing to. For a worked example, see the sales inquiries use case.

Common questions

What is a smart link?

A link you add to an agent with a label, a URL, and a "use when" note, for example a booking page to offer when someone asks for a call. The agent includes it only when the note matches the email.

Will the AI put a link in every reply?

No. Links are offered to the agent as options with guidance on when each applies. A reply that does not call for one goes out without one.

Can the AI make up a link?

On autopilot, every link in a draft is checked against your agent links, your knowledge base, and your own mailbox domain. A draft with any other link is not sent automatically. It goes to your review queue with the reason shown.

Can different agents have different links?

Yes. Links belong to an agent, so a sales agent can carry a booking link while a support agent carries help-center links.
