Use case

Answer inbound sales inquiries while the lead is still interested

inboxr drafts a reply to every inbound sales question using the product and pricing facts in your knowledge base, and adds your booking or pricing link when it fits. You review each draft before it sends. It answers inbound mail only: it does not send cold outreach or run follow-up sequences.

The workflow

  1. An inquiry arrives in your sales or general mailbox.
  2. inboxr classifies it as sales and routes it to your sales agent. Other topics go to their own agent or to your default.
  3. The sales agent drafts a reply from the product and pricing facts in your knowledge base, and adds your booking or pricing link when the question calls for it.
  4. You review it. Approve as written, or add a personal line first. Your edit is saved as an example for future drafts.
  5. The reply sends from your own mailbox, threaded under the original email. If the lead writes back, the conversation history is included when the next draft is written.

inboxr answers email that arrives. It does not send cold outreach, and it does not run multi-step follow-up sequences.

What to set up

A sales agent

Create an agent, point it at the sales inquiry type, and give it a role such as: "You answer inbound sales questions. Answer what was asked from the knowledge base, keep it short, and offer the booking link when the prospect asks about a demo, a call, or a quote." See multiple agents.

Knowledge

  • What you sell and who it is for, in two or three sentences
  • Plans or packages and their public prices
  • What is and is not included
  • Whether you offer a trial, a demo, or a discount, and the conditions
  • Questions you want handed to a person, such as custom contracts

The agent repeats what is written there. It should not be asked to negotiate, so leave anything that needs judgment out of the knowledge base and handle it yourself in the queue.

Links

Add your scheduling link and pricing page as smart links, each with a note on when to use it. The agent includes a link where it is relevant, not in every reply.

Co-pilot or autopilot?

Keep in co-pilotGood candidates for autopilot
Custom pricing, contracts, and procurement questions"Do you offer a trial?"
Large or strategic accounts"Can I book a demo?" answered with your booking link
Anything asking for a discount"Which plan includes X?" when it is in the knowledge base

Autopilot is locked on each mailbox until it has 20 clean approvals. After that, only drafts at or above your confidence threshold send on their own, and you can restrict sending to business hours. Many teams leave sales in co-pilot because the review takes seconds and a personal touch is worth it. More on autopilot and confidence scoring.

A sample conversation

From: Tomas Reyes · Subject: Pricing for a team of six?

Hello, we are a six-person studio looking at your project tool. What would it cost us, and can we see it before committing?

AI draft · Sales agent · held for your approval

Hi Tomas, thanks for getting in touch. For a team of six, the Team plan is the usual fit. Current pricing and what each plan includes are on our pricing page: example.com/pricing.

You are welcome to see it first. You can pick a time for a short walkthrough here: example.com/book. If you tell me a bit about how your studio runs projects, I can point out the parts most relevant to you.

Email plus website chat

On plans that include them, the website chat agent answers visitors from the same knowledge base and can capture lead details, and the built-in CRM rolls each contact's email and chat history into one timeline. See pricing for which plans include chat and CRM.

Putting a number on reply speed

How much a faster reply is worth depends on your own conversion rates and deal size. The cost of slow replies calculator works it out from the figures you enter, and it uses no benchmarks of ours.

Common questions

Does inboxr send cold email or outbound sequences?

No. inboxr replies to email that arrives in your mailbox. It is not a cold outreach or sequencing tool.

Can it quote prices?

It can repeat the prices and plan details you put in the knowledge base. It does not invent prices or discounts, and anything outside your knowledge is best handled by you in the review queue.

Can it include my booking link?

Yes. Give the sales agent your scheduling or pricing link with a short note on when to use it, and it adds the link where it is relevant instead of in every message.

Should sales replies run on autopilot?

Many teams keep sales in co-pilot, because a quick personal line often helps. If you do use autopilot, a high confidence threshold keeps anything unusual, such as custom terms, in your review queue.

Can leads from my website chat end up in the same place?

On plans that include the website chat agent and CRM, chat conversations and email roll up into one contact timeline. See the pricing page for which plans include them.
