Use case

One AI email agent across an agency or studio inbox

An agency inbox mixes new-business inquiries, client questions, and vendor noise. inboxr lets you connect more than one mailbox, route each kind of email to its own agent, and share the review queue with your team, with pricing based on mailboxes instead of a fee per person.

The shape of an agency inbox

A typical agency or studio has a few shared addresses doing very different jobs: a new-business address that needs fast, well-judged replies, a client support address full of repeat questions, and a general address that collects everything else. inboxr treats each as its own mailbox with its own settings, and uses agents to give each kind of email the right voice.

The workflow

  1. Connect each address as a mailbox. Any mailbox that supports IMAP and SMTP works. Each one gets its own reply-from name, signature, mode, and ignore rules.
  2. inboxr classifies each email by topic and routes it to the agent you assigned to that topic on that mailbox.
  3. Drafts land in one review queue, labeled by mailbox and inquiry type. You can search and filter it.
  4. Whoever owns the queue approves. Team members with review access can approve, edit, or reject. The Sent tab shows what went out and whether a person or autopilot sent it.

What to set up

Agents

  • New business agent for sales inquiries: describes your services, asks the one or two questions you need to scope a project, and offers your booking link.
  • Client support agent for support questions: answers from your process documents, such as how to request a change, turnaround times, and how to share files.
  • A default agent as the fallback for everything else.

More on multiple agents.

Knowledge

Each article can apply to all mailboxes or one, and to all agents or one. Use that to keep things apart:

  • Services, typical engagement types, and how to start a project, for the new business agent
  • Client process: revision rounds, turnaround, office hours, file handover, for the support agent
  • Shared facts such as your address and holiday closures, for everyone

Leave rates out unless you publish them. If a price is not in the knowledge base, the agent has nothing to quote.

Team access

Invite your team and choose what each person can open: the review queue, mailboxes, agents, knowledge, analytics. Billing and organization settings stay with admins. Plans are priced by mailboxes and monthly AI replies, with a set number of team seats included, so adding a reviewer does not add a per-user fee within your plan's seats. See pricing.

Co-pilot or autopilot?

Keep in co-pilotGood candidates for autopilot
New-business inquiries, where a tailored reply wins the work"What are your office hours?"
Scope, budget, and timeline questions"How do I send you files?"
Feedback on live client work"How many revision rounds are included?" when it is in the knowledge base

Mode is set per mailbox, so the support mailbox can run on autopilot while new business stays in co-pilot. Autopilot becomes available on a mailbox after 20 clean approvals, and you can limit it to set days and hours. See autopilot and confidence scoring.

A sample conversation

From: Priyanka Desai · Subject: Rebrand for a small bakery chain

Hi there, we run four bakeries and are thinking about a rebrand before we open a fifth. Is this something you take on, and how do we start?

AI draft · New business agent · held for your approval

Hi Priyanka, congratulations on the fifth location. Yes, brand identity work for growing local businesses is a core part of what we do.

The best first step is a short intro call so we can hear what is prompting the rebrand and what your timing looks like. You can pick a slot here: example.com/intro. If it helps before then, it would be useful to know roughly when the new bakery opens.

One thing to know

An inboxr account is one organization with its own mailboxes, knowledge, and team. There is no agency console for running separate client accounts from one login today. If a client wants inboxr on their own inbox with their own data, they need their own account.

Beyond email

On plans that include it, the website chat agent answers visitors on your site from the same knowledge base and can capture lead details, and the CRM keeps each contact's email and chat history together.

Common questions

Can we connect more than one mailbox?

Yes. Each plan includes a set number of mailboxes, and each mailbox has its own mode, signature, agents, and ignore rules. See the pricing page for the limits on each plan.

Is pricing per user?

No. Plans are priced by mailboxes and monthly AI replies, and each plan includes a set number of team seats.

Can we manage mailboxes for our clients as separate accounts?

Each inboxr account is one organization with its own mailboxes, knowledge, and team. There is no agency console for managing separate client accounts today, so a client who wants their own workspace needs their own account.

Can different mailboxes use different knowledge?

Yes. A knowledge article can apply to every mailbox or to one mailbox, and to every agent or to one agent.

Who can change settings and billing?

Organization admins. Team members are given access to specific areas, such as the review queue or the knowledge base, and do not see billing or organization settings.

See it on your own inbox.
